Act as a gatekeeper by managing and screening calls, visitors, emails, and requests, prioritizing them effectively. Facilitate smooth communication between the executive and staff, ensuring credibility and support. Serve as the primary contact for internal and external requests, handling confidential matters with discretion. Advise the executive on time management for optimal productivity. Drive cross-functional projects, prioritize tasks and communications, and manage high-stakes executive tasks. Assist in delegating and tracking tasks to ensure completion.

Administrative Support

​Organize and report incoming information, coordinate and monitor high-value projects, and provide flexible project support. Conduct research to assist with decision-making, manage and organize important documents, and ensure smooth information flow between the executive and other parties. Maintain contact lists and organizational charts, troubleshoot inquiries and conflicts, and assist with technology-related tasks. Support onboarding processes in collaboration with HR, demonstrating adaptability and discretion in handling sensitive matters.

Effective Communicator

Craft and maintain superior communication frameworks to ensure transparency and alignment with strategic goals. Facilitate cross-functional communication, acting as a strategic liaison between staff, executives, and senior leaders to drive efficiency. Prepare key presentations, including pitch decks and meeting materials, and draft and edit correspondence and reports on behalf of executives. Serve as the primary point of contact for clients, providing exceptional customer service. Manage and prioritize incoming correspondence, prepare communication and research materials, and interact confidently with stakeholders at all levels.

Relationship Builder

Cultivate and maintain relationships at all levels to foster trust and collaboration. Strengthen relationships with key stakeholders, ensuring strategic consistency and engagement. Contribute to team culture by celebrating important milestones and personal events. Utilize excellent interpersonal skills to communicate and collaborate effectively both internally and externally, establishing and maintaining effective working relationships.

Calendar Management

Coordinate and manage complex calendars, ensuring efficient time and resource allocation. Book and confirm appointments, schedule meetings (in-person, virtual, and off-site), and keep the executive on track. Track and monitor recurring events, follow up on agendas and preparation, and manage all event planning and coordination. Keep the executive informed of upcoming meetings, resolve scheduling conflicts, and anticipate and troubleshoot technology issues for meetings. Conduct demos and trial runs to ensure stable connections.

Travel Coordinator

Manage all aspects of domestic and international travel, including booking airfare, accommodations, transportation, dining, activities, and meeting spaces. Liaise with various vendors to confirm bookings and resolve issues, ensuring seamless travel experiences. Prepare travel itineraries and necessary documentation, monitor travel options and budgets, track memberships and balances, and provide on-the-ground support. Maintain accurate records of client information, expenses, and bookings.

Meeting & Event Planner

Organize and coordinate various meetings and personal engagements, plan and execute events such as conferences and team offsites, and prepare agendas, presentation materials, and logistics. Ensure meetings are relevant and well-prepared, enhancing their effectiveness with structured agendas and quality content. Take and distribute meeting minutes, coordinate follow-ups, and manage logistics for company events, board meetings, and conferences.

Expense Management

Prepare and track invoices, submit and review expense reports, and ensure accurate expense allocations. Track and reconcile travel expenses, ensuring compliance with company policies, and identify unique transactions and potential fraud. Manage personal reimbursements and payments, and assist with budget tracking.

Operations Executer

​Manage daily business operations, ensuring priorities are met, project milestones are achieved, and regular updates are provided. Oversee key strategic initiatives, optimize executive decision-making, and contribute to long-term business strategies. Develop and refine processes for a growing business, mentor senior leadership, and act as a liaison with stakeholders. Conduct research and data analysis, proactively identify challenges, and track OKRs and KPIs. Improve company operating cadence, oversee key operational activities, lead critical projects, ensure departmental alignment, and facilitate effective decision-making and program management. Continuously evaluate processes and recommend improvements.
